Gotham Knights RFC (“Gotham,” “we,” “us”) respects your privacy. This Privacy Policy explains how we collect, use, and share information when you submit a Gotham interest form (including forms linked from Instagram ads and our website).
Information we collect
When you submit an interest form, we may collect:
Contact info: name, email, phone number, and/or Instagram handle
Interest details: rugby experience level, availability, preferred training locations/times
Optional info you provide: pronouns, goals, questions, accessibility needs, and anything else you choose to share
Basic technical data: such as submission timestamp and referral source (when available)
How we use your information
We use your information to:
Send you details about Intro to Rugby days, practices, clinics, and next steps
Follow up about joining and help you get connected with the team
Coordinate recruiting and onboarding (including assigning a volunteer/leader to reach out)
Improve our outreach and recruiting process (using basic, aggregated analytics)
How we share your information
We do not sell your personal information.
We may share your information only:
With Gotham volunteers/leaders who help manage recruiting and onboarding (limited to what’s needed)
With service providers we use to operate the form, communications, or data storage (for example, email tools or a CRM) who process information on our behalf
If you submit your information through Instagram/Meta lead ads, Meta may also process your information under their own privacy terms and settings.
Data retention
We keep interest-form submissions for as long as reasonably necessary for recruiting and onboarding, or until you ask us to delete them. We may retain minimal records where needed for safety, compliance, or legitimate operational purposes.

Security
We take reasonable steps to protect your information and limit access to people who need it to manage recruiting and onboarding. No method of transmission or storage is 100% secure, but we work to safeguard the data we hold.
Children’s privacy
Gotham recruiting and club activities are intended for adults. If you believe a minor has submitted information, contact us and we will delete it.
Changes to this policy
We may update this Privacy Policy from time to time. We’ll update the “Last updated” date when we do.
